PMINAC holds its Annual Election once per year to fill Board positions with terms concluding in the current cycle.

• President-Elect: Serves a one-year term, then automatically transitions to President and subsequently to Past President, each for a one-year term.
• All other Board positions serve two-year terms, ensuring shared leadership and organizational continuity. To maintain stability, these positions are staggered, with half of the Board elected each year during the Annual Election cycle.

Board terms officially begin on 1 July and conclude on 30 June of the second year.

Election results are announced during the Annual General Meeting (AGM) held each June.

Should a vacancy arise mid-term on the Board, a by-election (or special election) is held to restore full governance and continuity. These elections:

• Are triggered when a position becomes unexpectedly vacant (for example, by resignation, removal, or other valid reasons).
• Fill the unexpired portion of the original term only — the successful candidate serves until the next Annual Election for that position.
• Are governed by PMINAC’s bylaws and election policies to ensure fairness, transparency, and compliance with the requirements of PMI Global.
• May involve a member vote via secure e-ballot, or in some circumstances an appointment process as defined in the chapter Bylaws.
• Support chapter continuity by ensuring leadership remains effective, without waiting for the next full election cycle.

When nominations open for a Board position, you’ll receive an email notification and this page will be updated with details and key dates. Once open, follow the steps below to submit your application.

How to submit your nomination

Chapter members in good standing are invited to submit nominations for open Board positions.

To apply, please complete the following three documents and email them to ElectionsDirector@pminac.com:

1. Completed Nomination Form
2. Biography and Election Statement
3. Personal Statement

Please ensure all documents are submitted before the nomination deadline. Incomplete submissions may not be considered.

Once we verify your eligibility and review your submission, you’ll receive a nomination confirmation email from the Elections Team.

After nominations close, eligible members will receive an E-Ballot via email. Voting is conducted securely online to ensure accessibility and integrity for all members.

For Annual Elections, results are formally announced during the PMINAC Annual General Meeting (AGM) held each June.

For Special By-Elections, members are notified of the results through official PMINAC communication channels, including the chapter newsletter and email announcements.

Following each election — whether annual or by-election — newly elected Board members participate in an orientation and onboarding program led by the current Board Member.

This transition process ensures continuity of leadership, knowledge transfer, and alignment with PMINAC’s strategic goals.

PMINAC operates under the policies, procedures, and ethical guidelines established by the Project Management Institute (PMI) Global. This oversight ensures that all elections are conducted with integrity, impartiality, and alignment to PMI’s Code of Ethics and Professional Conduct.
PMI provides governance frameworks and election protocols that safeguard against conflicts of interest and ensure all eligible members have an equal opportunity to participate — whether as candidates or voters.

All PMINAC elections are conducted through a secure electronic voting system (e-ballot) managed by PMI’s approved third-party platform. This process ensures that:

• Each eligible member receives a unique, confidential voting link.
• Votes are recorded and tallied accurately, without duplication or manual interference.
• Results remain anonymous and are verified before being officially announced.

This digital approach increases accessibility, security, and confidence in the election process — allowing every member to participate easily, no matter where they are in Northern Alberta or beyond.

In alignment with PMI® policies and PMINAC Bylaws, no funds, resources, or assets of PMI® or PMINAC may be used to support any candidate or group of candidates.

Organized campaigning, communications, fundraising, or any other activity on behalf of a candidate is not permitted.

All official election materials are managed and distributed exclusively by the Nominating Committee to ensure a fair and transparent election process.

Any candidate found violating these rules risks disqualification.

PMINAC elections allow members to democratically elect Board Directors who guide the chapter’s strategy, operations, and long-term vision in alignment with PMI Global standards.

All active PMINAC members in good standing (with valid PMI + PMINAC membership) are eligible to vote in Chapter elections.

Voting is conducted through a secure electronic ballot, and eligible members receive a unique voting link via email once voting opens.

Eligibility requirements vary by role, but applicants must be active PMINAC members, meet the bylaw-defined criteria, and submit a complete nomination package during the nominations period.

Campaigning is strictly prohibited. PMINAC follows PMI policies and its own bylaws, which do not allow any organized electioneering, communications, or use of PMI/PMINAC resources to promote a candidate. Any violation may lead to disqualification.
